How to Share Bookmarks Securely and Effortlessly

For businesses, the ability to share bookmarks means less time wasted and higher productivity. One study done within Microsoft found that their employees spend 70 seconds an average on all searches for important links. Compare that to just 10 seconds per each search when using a bookmark - and these are just conservative measurements.

When you consider how many apps and websites your team uses on a daily basis, that extra minute of wasted time can make a huge difference. Plus, bookmarks are stored in your browser. Whenever you or your employees step away from your computer, you no longer have access to those bookmarks.

So what’s the solution? With Link for Work, every bookmark and app is stored in an interface with a single, convenient link. You’re in control of organizing and optimizing the dashboard, so you’re never stuck searching for bookmarks. If you want to keep up with your business demands, the capability to share bookmarks and access them on the go is crucial.

Technology is Making Us Search for Links More Than Ever

With the help of technology, we’re able to work smarter, faster, and better than ever before. However, that also means we have more digital tools to manage. One study by McKinsey found that employees are spending 1.8 hours looking for information each day, on average. That’s 19% of the day wasted, just searching for internal information.

The search for information is not a unique issue. The information age, and now the post-information age, has created low barriers to talent, information, and markets. To put that into perspective, between the years of 1400 and 1900, knowledge doubled every 500 years. In 2020, knowledge now doubles every 12 hours. And that’s up from 2017, when knowledge was doubling every 13 months.

Simply put, we have more information than ever before to manage, read, tag, and understand - and it’s humanly impossible to do so. This applies to our personal and professional worlds.

The McKinsey study also found that if companies used internal social technology, they could cut search time down by up to 35%. Providing teams with the tools necessary to find information easily has the potential to increase productivity. An interface that gives teams an overview of the most important links in the organization is exactly the kind of tool businesses need.

How to Share Bookmarks with Link for Work

With Link for Work, you can share all of the key links for your organization without making a huge investment in a costly platform like Notion or other workspaces.

Step One: To build your dashboard of shared bookmarks, start by adding a single link. This is accomplished by pasting the URL or selecting a link from a catalog of common links.

Step Two: Encourage collaboration by allowing anyone on your team to add links.

Step Three: Restrict access to just those within your company.

Share Bookmarks Using Web Browsers

To share bookmarks using web browsers, things are a bit more complicated.

For Firefox and Chrome

Firefox, for example, allows you to export your bookmarks as an HTML file. Click on the Library icon in your toolbar, and go to Bookmarks>Manage Bookmarks. There, click Import and Backup and choose Export Bookmarks to HTML. You can send the document to a friend to import the bookmarks on their own Firefox browser.

A similar process can be used to share bookmarks using Chrome. With both browsers, you’ll need to look for your bookmarks tab, then find an option to import, export, and back up. Once you’ve shared the document with your collaborator, they’ll need to follow a similar process and look for the option to import from HTML.

For Safari

There’s also the option to share bookmarks using Safari across your Apple products. By adjusting your iCloud settings to allow sharing on Safari, your bookmarks will appear across all of your Apple products, as long as you are logged into the same iCloud account on each. Like Chrome and Firefox, you’ll face the issue of exporting and importing to share bookmarks with other Safari users.

The issue of security for sharing bookmarks

Then there’s the issue of security. There’s no built-in way to secure bookmarks using Chrome. You can download an extension like Secure Bookmarks which uses password protection. Other options require a paid subscription and work only when you’re in Incognito mode. Unfortunately, sharing bookmarks using web browsers can be a clunky process that lacks security.
